As one of the organizers, your job is to ensure everyone’s attention stays on the performers. But if there’s chaos happening in the background, that might be kind of hard. Bad Weather
Weather can be unpredictable no matter how closely meteorologists get in telling us what to expect. To be on the safe side, it’s always better to expect the unexpected. You can do this by providing some sort of shelter for everyone who comes out.
Station tents around the property. There needs to be one covering the stage and performance area, one stationed in the dining area, and another above the portable restrooms. Even if there’s no rain that day, the cover will be good protection from the blasting sun.
No Shows
No one showing is especially embarrassing for you and the performers. Performing to a non-existent crowd is bad for the artist’s ego, and it will reflect poorly on you. Artists and entertainers will think you don’t know how to organize a crowd.
Start advertising and promoting this event early and consistently. It needs to stay fresh in people’s minds. You can use all your social media platforms and recruit some sponsors to promote the festival, too.
Technology Failures
What good is an outdoor festival if no one can hear or see what’s happening on the stage? Avoid any technical failures the day of by doing consistent sound checks. Also, practice runs and perform steady maintenance checks on the equipment.
Run the checks the week before and the week of the festival to ensure that everything works. Have backup equipment ready to go because accidents can happen. Additionally, make sure you have a backup generator on location because a power outage is always a possibility.
Faulty Plumbing
Things can go wrong with porta-potties, and no one wants to deal with an issue that involves the restroom.
Station the portable restrooms in a shaded area so that the sun doesn’t beam down on them. Also, it’s best to keep them downhill in case of strong and high winds. You can also rent a holding tank for the event to make it even better.
Medical Emergencies
Medical emergencies can happen for many reasons. Bring on staff members and volunteers who are CPR certified and see about getting a few paramedics on site.
You may be able to find paramedics and firefighters who could volunteer their services for the day to ensure you have instantaneous assistance. Plus, they get to enjoy the show for free, and that may sweeten the pot for them to join. Also, include police officers for everyone’s safety.
